Getting Started with EmailPilot

Connect your first brand and move from planning to measured performance through one coordinated workflow.

EmailPilot is an AI co-pilot for email and lifecycle marketing teams. It brings campaign strategy, performance data, client approvals, and creative production into one connected workflow.

This guide walks you through the basic process of connecting your Klaviyo account and using EmailPilot to plan, approve, and produce campaigns.

1. Sign in to EmailPilot

Sign in to your EmailPilot organization and open the Brand Workspace for the brand you want to manage.

Each Brand Workspace keeps that brand’s campaign data, audience segments, goals, performance information, calendars, and integrations separated from your other brands.

2. Connect your Klaviyo account

From your brand settings, connect the brand’s Klaviyo account.

EmailPilot supports connecting Klaviyo through Klaviyo’s authorization process. After authorization, EmailPilot can use Klaviyo data to support campaign planning, reporting, audience strategy, and other EmailPilot workflows.

EmailPilot’s Klaviyo integration supports data including:

Campaign and flow performance

Attributed revenue

Lists and audience segments

Historical performance

Revenue goals and pacing

Campaign planning data

EmailPilot does not automatically send marketing messages on your behalf.

3. Review your Brand Workspace

Once Klaviyo is connected, review the Brand Workspace and confirm that the information EmailPilot will use for planning is accurate.

Depending on your configuration, EmailPilot can use information such as:

Historical campaign and flow performance

Brand voice and guidelines

Audience segments

Revenue goals

Product information

Inventory and sales velocity

Holidays and seasonal events

Previous campaign performance

The more complete the brand context, the more useful EmailPilot’s recommendations become.

4. Add your Key Events

Before generating a campaign calendar, add the important dates that should shape the month.

Key Events can include:

Promotions

Product launches

Seasonal sales

Holidays

Brand events

Multi-day promotional periods

These events act as strategic anchors for the campaigns EmailPilot recommends.

5. Generate your Flight Plan

Open Flight Plan from the Campaign Calendar.

Flight Plan is EmailPilot’s AI campaign-planning engine. It analyzes the brand’s available data and generates a strategically reasoned campaign calendar across email, SMS, and push.

EmailPilot considers inputs such as historical performance, audience segments, product information, revenue goals, seasonal context, brand guidelines, and the instructions you provide.

Rather than simply creating evenly spaced campaign ideas, Flight Plan uses a multi-stage planning process that analyzes the account, develops a strategy, builds the calendar, evaluates it for quality, and generates campaign-level creative direction.

Generation may take several minutes because EmailPilot is evaluating the underlying data before returning recommendations.

6. Review and edit the calendar

Review the campaigns EmailPilot generates before sending the calendar for approval.

You can:

Review the strategic reasoning behind each campaign

Change campaign dates

Adjust audiences

Add or remove campaigns

Modify campaign details

Review email, SMS, and push activity together

Add additional campaigns manually

AI-generated recommendations remain visually distinguishable from campaigns added manually.

Human decisions take priority over AI recommendations.

7. Send the calendar for approval

When the calendar is ready, create a shareable approval page.

Your client, manager, or other reviewer can open the page without creating an EmailPilot account.

Reviewers can:

View the planned campaign calendar

Review individual campaign strategies

Leave comments

Request changes

Approve the calendar

EmailPilot tracks both pending and resolved change requests so your team retains a record of the approval process.

8. Generate creative briefs

After campaigns are approved, EmailPilot can generate detailed creative briefs for production.

Briefs can include:

Campaign strategy

Key message

Audience

Offer details

Subject-line direction

Preview-text direction

Copy direction

Visual direction

Product focus

Performance targets

When the appropriate integrations are configured, EmailPilot can create the brief in Google Docs and create the corresponding production task in Asana.

This gives copywriters and designers a structured starting point rather than asking them to begin from a blank page.

9. Track campaign performance

After campaigns are executed, EmailPilot connects the planning process back to performance.

You can review information such as:

Sends

Opens

Clicks

Attributed revenue

Campaign performance

Flow performance

Revenue goal pacing

Historical comparisons

EmailPilot uses Klaviyo’s reporting and attribution data so the revenue displayed in EmailPilot is designed to reconcile with the numbers your team sees in Klaviyo.

Your EmailPilot workflow

The basic EmailPilot workflow is:

Plan → Approve → Produce → Measure

Use Klaviyo and brand data to build your campaign strategy.

Review and approve the calendar.

Turn approved campaigns into production-ready creative briefs.

Compare campaign execution and revenue performance against the plan.

EmailPilot automates data gathering, analysis, and first-draft strategy while keeping campaign decisions, creative judgment, and final approval in human hands.
